Acceptance of Terms

By scheduling an appointment, engaging in therapy sessions, or using the website of Kaltum Counseling & Recovery, PLLC (“we,” “our,” or “us”), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.

These terms constitute a legally binding agreement between you and Kaltum Counseling & Recovery, PLLC, a professional limited liability company licensed in the Commonwealth of Virginia.

Services Provided

We provide licensed professional counseling services via telehealth to clients located in the Commonwealth of Virginia. Our services include:

  • Individual therapy for adults and adolescents (ages 13+)
  • Couples therapy and relationship counseling
  • Group counseling and support groups
  • Substance use counseling and recovery support
  • Our services are not a substitute for emergency care. If you are experiencing a mental health crisis, please call 988 (Suicide & Crisis Lifeline), go to your nearest emergency room, or call 911.

Eligibility

To receive our services, you must:

  • Be physically located in Virginia at the time of each session
  • Be at least 18 years of age, or have parental/guardian consent if ages 13–17
  • Provide accurate and complete personal and health information
  • Have access to a device with a stable internet connection for telehealth

Client Responsibilities

As a client, you agree to:

  • Provide honest and accurate information about your health and circumstances
  • Actively participate in your treatment plan and therapeutic goals
  • Attend scheduled sessions on time and communicate changes promptly
  • Ensure a private and safe environment for telehealth sessions
  • Refrain from recording sessions without explicit written consent
  • Notify us of any changes to your contact or insurance information

Telehealth Consent

All sessions are conducted via HIPAA-compliant telehealth platforms. By using our services, you acknowledge and agree that:

  • Sessions are conducted via secure, encrypted video conferencing platforms
  • We do not record telehealth sessions
  • Your therapist conducts sessions from a private, secure location
  • We recommend that you also participate from a private space for your own confidentiality

Scheduling & Cancellations

We ask that you respect our scheduling policies to ensure availability for all clients:

  • Cancellations: Please provide at least 24 hours' notice for cancellations or rescheduling
  • Late Cancellations: Sessions cancelled with less than 24 hours' notice may be subject to a cancellation fee equal to the full session rate
  • No-Shows: Missed appointments without prior notice will be charged the full session fee
  • Late Arrivals: If you arrive late, your session will still end at the originally scheduled time

Fees & Payment

Payment is due at the time of service unless other arrangements have been made. Please review our Fees & Insurance page for current rates.

  • We accept major credit/debit cards, HSA/FSA, and insurance through Headway
  • Insurance copays and deductibles are the client's responsibility
  • Unpaid balances may result in suspension of services
  • You are entitled to a Good Faith Estimate under the No Surprises Act

Confidentiality

Your confidentiality is paramount. All information shared during sessions is protected under HIPAA and Virginia state law. For full details, please review our Privacy Policy.

Exceptions to confidentiality include situations required by law, such as suspected abuse, imminent danger to self or others, and valid court orders.

Limitations of Liability

While we strive to provide the highest quality care:

  • We do not guarantee specific therapeutic outcomes
  • Therapy involves exploring difficult topics, which may temporarily increase distress
  • We are not liable for any issues caused by third-party technology used in telehealth
  • Information on our website is for general informational purposes and does not constitute professional advice

Termination of Services

Either party may terminate the therapeutic relationship at any time. We may discontinue services if:

  • You are no longer located in Virginia during sessions
  • There is a pattern of missed or cancelled appointments
  • Your needs are beyond our scope of practice, in which case we will provide referrals
  • There are safety concerns that cannot be managed via telehealth

Upon termination, we will provide appropriate referrals to ensure continuity of your care.

Governing Law

These Terms of Service are governed by the laws of the Commonwealth of Virginia. Any disputes arising from these terms shall be resolved in the courts of Fairfax County, Virginia.

We reserve the right to update these terms at any time. Continued use of our services constitutes acceptance of any modifications.
